Getting Started with Member Splash: What to Expect

We’re excited to help you get up and running with Member Splash! To keep everything smooth and simple, here’s what you need to know about the onboarding process and what’s included:

HOA Onboarding Questionnaire

In order to facilitate migrating your HOA to the Member Splash platform we have compiled this checklist of information we will need. If you have any questions please contact [email protected].

WEBSITE ADMINISTRATION

This will be the "From" address used when sending system messages from your Member Splash website to your members. Please use an email address associated with a domain you control (e.g., [email protected] rather than [email protected]). This ensures added security and allows our support team to verify your identity and assist with login recovery if needed.
Website URLs*
Custom URL example is www.sunnydayhoa.com. Custom URLs require hosted domain at the expense of the community. Additional Fees for custom domains are handled outside of Member Splash involvement. Subdomain URL example is www.NAME.membersplash.com. Subdomain URLs do not cost extra and can be nested within a custom domain with hyperlinks, directing traffic to the Member Splash site specifically for pool related activities.

WEBSITE CONTENT - ESSENTIALS + SITES

As an Essentials+ customer, your Member Splash account includes a pre-built website template to help you get started quickly. Your website will be set up with a 5-page template containing: Home, About, Calendar, Membership, and Contact pages.

I understand that this template is provided as a starting framework and that I am responsible for customizing and updating all content on these pages to reflect my organization's information, branding, and needs. I understand that Member Splash will set up the template structure, but will not populate it with my organization's specific content.

In this section, we will ask for content to provision your site during initial set up. After initial set up, maintenance of this content is the responsibility of the client.

Homepage

Do you have a current website where you can pull images and content to populate your new Member Splash site?
Image photo no larger than 2000px wide, under 300kb in file size and either a jpg or png.

No larger than 900px wide, under 200kb in file size and either a jpg or png.

EVENTS

Events are managed by the Event Organizer plugin. Once you log in, go to the EVENTS tab on the left panel and you will be able to add a new event or edit an existing event’s title, description, image, date, time etc. It will appear for your site visitors on the Events page automatically in chronological order.

DATA IMPORT

Since HOAs have a specific set of addresses, we recommend importing as much data as possible for each address. If you don't have an email address for a physical address, our Onboarding contact will recommend a format for the username.

PAYMENT SETTINGS

Payment Processing: Will you be accepting digital payments through Member Splash?*
Examples include, but are not limited to: one time use guest passes, seasonal caregiver passes, event rental fees, non-HOA membership fees, Point of Sale purchases (HOA Essentials + only)
In order to enable online credit/debit payments, you'll need to set up an account with our payment processor partner. They provide the merchant account and then use a payment gateway to handle the actual electronic verification and transfer of funds.

To help offset the costs of providing an online payment option, some clients opt to charge their members a service fee for online payments.

Account Types are a way to categorize the different groups within your community. Examples of typical account types for HOAs include: Homeowner, Resident, Homeowner- Leased Out, Absentee Resident, Renter, Tenant, Social, or the name of an smaller area within the community.

Default Payment Status for new applicants:*
Member Splash assumes you are collecting monthly HOA fees in another platform. We recommend marking an account as PAID if they are current with fees, and UNPAID if they are delinquent or have any violations that would negate them from using the amenities. PENDING can be used while you review applicants.

MEMBER TYPES

Member types refer to how individual members are classified. For example Adult and Child are member types. Additional member type examples might include Grandparent or Houseguest. NOTE: If homeowners need to purchase guest passes for Grandparents or Houseguests, do not list them below.

SPECIAL PASSES & PRODUCTS

Because you indicated that you will not be processing digital payments through Member Splash, we cannot configure products to be sold. However, Guest passes can be awarded at no charge by the Admins.

Front Desk Guest Passes: Default Payment Type
Seasonal Caregiver Passes: Do you sell seasonal caregiver passes?*
Examples: for a Nanny or Grandparent. This pass is typically for someone outside the residence, added to the account for one season only. Member Splash will automatically remove Caregivers at the end of the season automatically.

Since you opted out of accepting digital payments through Member Splash, our recommendation is to remove the Payments tab.

Again, Member Splash assumes you are collecting HOA dues/fees in another platform, but are marking accounts as PAID if they should have access to the amenities, UNPAID for any violations or delinquincies and PENDING if account is under review.

Example: Waiver 2024, 2024 Release, Waiver Completed. You can utilize these tags in Account reporting

Communications Module

Member Splash offers a Communications Module with two options: our built-in Member Mail or an integration with MailChimp. Member Mail provides essential communication tools, while MailChimp offers more advanced features but may come with additional costs. Learn more about Member Mail and MailChimp pricing.

Reservation Module

The Reservation module allows your residents and members to make their own reservations for free of charge amenities such as Tennis Courts, Picnic Tables, Lap Lanes, etc. Initial configuration of facilities available for reservation is your responsibility. Point of Sale Module

The Point of Sale module has two uses for HOAs: 1) sell products at a snack bar or similar and 2) the ability for Admins to bill an account. EX: An Admin may bill an account for a Event Rental fee if you have a complex pricing structure that necessitates Manager involvement.
